About PAL Network
Since its inception, PAL Network has championed Citizen-Led Assessments (CLAs)—a cost-effective, inclusive approach to evaluating foundational learning. To date, more than 60 assessments have been conducted in over 15 countries, reaching 9 million+ children directly in their homes.
In 2025, PAL Network will implement the International Common Assessment of Numeracy (ICAN) and International Common Assessment of Reading (ICAR), measuring learning levels of 89,870 children aged 5–16 across 12 Global South countries: Senegal, Mali, Kenya, Uganda, Tanzania, Mozambique, Botswana, Nicaragua, Mexico, Pakistan, Bangladesh, and Nepal.
This groundbreaking initiative will culminate in the launch of the ICAN–ICAR report at the PAL Evidence for Action Forum, scheduled for 25–26 November 2025 in Nairobi, Kenya. The Forum will bring together policymakers, education leaders, civil society, and international partners to reflect on the state of foundational learning and co-create evidence-driven strategies. The event will also mark PAL Network’s 10th anniversary, celebrating a decade of citizen-led impact.
Assignment Purpose
To ensure the successful delivery of this high-profile event, PAL Network seeks to engage an experienced Event Management Company (Consultancy). The firm will work closely with the PAL Secretariat to provide end-to-end event coordination and delivery support, ensuring a professional, seamless, and memorable experience for all participants.
Key Responsibilities
- Event Coordination
- Lead the execution of event plans, workflows, and timelines in close collaboration with the PAL Secretariat.
- Support finalization of the event programme, ensuring smooth flow, timing, and active engagement of participants.
- Manage participant registration and communication, including VIPs, speakers, policymakers, and international delegates.
- Ensure smooth on-site logistics and coordination during the two-day Forum.
- Visibility & Digital Presence
- Develop and implement an event visibility strategy.
- Create and manage digital assets (banners, teasers, social media content, branded templates).
- Deliver live coverage on PAL Network’s platforms (X/Twitter, LinkedIn, Facebook, Instagram, YouTube), including live-posting and audience engagement.
- Coordinate media engagement (press releases, interviews, coverage).
- Produce highlight content (daily recaps, reels, short videos) to extend the event’s reach.
- Ensure consistent branding and messaging across all physical and digital channels.
- Reporting & Post-Event Follow-Up
- Provide a comprehensive event report with insights, lessons learned, and recommendations.
- Curate digital and photographic archives for institutional memory and post-event communication.
- Coordinate with PAL Secretariat on thank-you notes, press releases, and dissemination of materials.
Requirements
The selected Event Management Company must demonstrate:
- Proven track record in designing, planning, and executing international conferences or forums.
- Strong portfolio in event visibility and digital engagement (social media campaigns, media relations, digital asset creation).
- Experience working with policymakers, civil society, donors, and international partners.
- Creativity in event branding, digital storytelling, and participant engagement.
- Adequate team capacity and technical expertise to deliver at scale.
- Commitment to equity, inclusion, and PAL Network’s mission.
Languages:
- Proficiency in English (spoken and written) is required.
- Ability to support multilingual communication (French, Spanish, Portuguese) is an added advantage.
Proposal Submission Guidelines
Interested Event Management Companies are invited to submit a comprehensive proposal including:
- Company Profile – background, years of experience, and areas of specialization.
- Relevant Experience – portfolio of similar assignments, especially international forums/conferences with strong visibility.
- Proposed Approach & Methodology – description of how the consultancy will deliver this assignment.
- Team Composition – profiles of staff to be assigned, their expertise, and roles.
- Work Plan & Timelines – detailed schedule of activities leading up to and during the event.
- Financial Proposal – itemized budget with all fees and taxes.
- References – at least two recent references with contact details.
